Pay: $28/hour
Job Summary:
The Payroll Specialist supports the Finance team and reports directly to the Accounting Manager. This role is responsible for managing full-cycle payroll operations for U.S. and Canadian employees, ensuring accuracy, compliance, and a high level of service. The ideal candidate is detail-oriented, proactive, and able to thrive in a fast-paced, collaborative environment.
Essential Job Duties & Responsibilities:
- Administer full-cycle payroll for U.S. and Canada employees, including multi-state and provincial payrolls
- Process exempt and non-exempt payroll cycles, including biweekly and off-cycle runs
- Calculate wages, bonuses, commissions, deductions, and taxes accurately
- Maintain and manage withholding, state, and local tax licenses and registrations
- Prepare and validate direct deposits and pay summaries
- Ensure compliance with federal, state, and provincial payroll laws and regulations, including FLSA and Canadian standards
- Audit and maintain employee payroll data within HRIS systems for accuracy and completeness
- Serve as the primary point of contact for payroll-related inquiries from employees and management
- Collaborate with HR, Accounting, Operations, and leadership to resolve payroll issues
- Support payroll reporting, reconciliations, audits, and month-end close processes
- Identify opportunities for process improvements and assist with documentation of payroll procedures
Qualifications & Requirements:
- 3+ years of payroll administration experience preferred
- Strong experience with Paylocity (required)
- Experience with multi-state U.S. payroll; Canadian payroll experience strongly preferred
- Proficiency in Microsoft Office, especially Excel
- Knowledge of payroll regulations, tax compliance, and benefits administration
- Strong attention to detail and high level of accuracy
- Ability to prioritize tasks, meet deadlines, and work independently
- Excellent written and verbal communication skills
- High level of professionalism and confidentiality when handling sensitive information
- Experience in a fast-paced, high-volume environment preferred
